Associate, External Affairs & Operations

The Associate, External Affairs & Operations, is a dynamic and essential part of our team, providing comprehensive administrative support to the External Affairs & Operations division and ensuring the smooth and efficient operation of all related activities. The ideal candidate is a highly organized and proactive individual with exceptional attention to detail and a passion for managing the logistical and administrative aspects of a busy, public-facing division.

What You’ll Be Doing

Operations & External Affairs Support 

  • Coordinate all administrative needs for efficient and effective meetings and/or events for a variety of San Francisco Travel Boards including Board of Directors, Executive Committee, the San Francisco Tourism Management Corporation Board, the San Francisco Foundation Board, the Board Development Committee, and Public Policy Council
  • Draft, edit, and proofread correspondence, presentations, and reports
  • Assist with input of budget details into the Operations/Public Policy/External Affairs division expense budget as assigned
  • Track division expenses monthly compared to budget established, assisting with reforecasts as needed
  • Provide administrative support including calendar management, travel coordination, and expense processing for the division
  • Coordinate presentation development across departments ensuring content and brand guideline consistency and timely delivery for all external stakeholder meetings/events assigned
  • Create name tags, prepare registration packets, and manage on-site event check-in and track attendance for all meetings
  • Provide administrative support to public policy and a variety of board meetings, including sending out participation invites, tracking rsvp’s and attendance, inviting guest speakers, taking meeting minutes
  • Coordinate all assigned board meeting and public policy meeting logistics and communications including scheduling and follow up
  • Assist with event planning and execution including logistics coordination, operational support and any catering order needs
  • Distribute minutes as directed by Chief of Staff
  • Maintain board databases and records
  • Manage divisional operations and filing systems

Research & Project Support:

  • Understand and ensure compliance with organizational by-laws and relevant regulations including the Brown Act as relates to governing meetings and all communications
  • Conduct research for Public Policy, Operations, and partnership initiatives
  • Help track and monitor relevant city proposed legislation and news as relates to tourism impact
  • Support strategic planning and special projects
  • Prepare briefing materials and reports
  • Assist with cross-departmental coordination

Other:

  • Support additional projects and initiatives as assigned
  • Provide backup support to other departments within the division as needed
  • Other related duties as assigned

Qualifications

Education and Experience

  • Bachelor's degree preferred
  • 2-4 years of administrative experience
  • Background in hospitality, tourism, or related industry a plus

  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
  • Strong presentation development and editing capabilities
  • Experience with meeting coordination and minute-taking
  • Database management and data entry skills
  • Ability to work independently with minimal oversight
  • Strong organizational and project management skills
  • Proficiency with Salesforce, Box, and other business applications a plus

Compensation

  • Salary Range: $65,000-$72,000 base compensation annually
  • Additional opportunity for annual incentive compensation based on performance and organizational results

  • Work week may occasionally exceed 37.5 hours. Must be available to periodically work evenings, weekends, and occasional holidays as needed
  • Employees of San Francisco Travel are required to be in the office a minimum of 4 days per week per company policy, which is subject to change.
  • Must be able to travel domestically as required
  • Must be able to lift up to 30 pounds when supporting events or meeting set up
